Operations Manager

We’re looking for someone to join our Operations Team. Our long-term aspiration is for you to join the shared ownership of the firm as a Principal and be a key partner in managing our operations.

We’re looking for someone who can:

Partner in the financial and operations management of our firm, including

o  Financial management and planning, including managing cashflow, budgeting and financial reporting

o  Risk management and regulatory compliance (e.g., in consultation with legal counsel, review legal documents; maintain appropriate insurance; ensure compliance with state tax law) 

o  Payroll management

o  Technology system setup and support, including administration of software; supporting staff members in learning and using tools; and managing our relationship with an external IT subcontractor

o  Supporting the annual planning process

o  Managing the day-to-day work of our operations team, either immediately or within two years

o  Managing and improving “behind-the-scenes’ systems to ensure our firm runs smoothly

o  Managing subcontractors and vendor relationships, and establish new relationships as needed

Provide support for consulting staff, including:

o  Proofreading and formatting documents

o  Basic data analysis and report-writing

o  Coordination and schedule management

o  Behind-the-scenes setup of technology: Zoom polls, Survey Monkey, Mural boards etc.

o  Managing technology in hybrid and virtual meetings

o  Organizing and updating our internal tools and resources

Depending on interest and skill, contribute to one of the following areas in greater depth:

o  Marketing and business development functions (e.g., write, edit and coordinate blog posts; draft and create our e-newsletters; manage our website; graphics design) 

o  In-depth data analysis and report-writing for clients and Virtual tool design, setup and production (e.g., Google slides, Mural, Lucidchart)

This person will be working with our existing two-person operations team, consulting staff, and subcontractors and vendors. We do not have traditional supervisory relationships at our firm. This person will work closely with our President on financial planning and management, and one of our Senior Principals will be the primary person guiding and supporting the other work of this candidate.

Preferred Skills

·       Understands financial management, including all altitudes of finance, from AP/AR, payroll, cash flow projections, budgeting, forecasting and analysis, particularly at year-end

·       Comfort using and administering a wide range of software and apps. More than experience in specific software, we are looking for someone with the ability to learn new software and tools, figure out how they can be applied and teach others on how to use them

·       Ability to synthesize and present information clearly

·       A proficient Excel user (e.g., Pivot tables, basic financial model building etc.)

·       Proficient in QuickBooks Online accounting software or other accounting software

·       Strong communication skills

Education and Experience
·       5+ years of related work experience preferred

·       Bachelor’s degree or similar preferred

Compensation and Benefits
We will evaluate the depth and breadth of each candidate’s background and experience to determine a compensation offer. The salary begins in the $65,000-$80,000 range and bonuses are paid in profitable years.

Location
This is a hybrid role with some work required on site at our office in Chestnut Hill Philadelphia (accessible via regional rail and bus). Our Operations team is currently working from home, going to the office only as needed (once every 2 weeks). When more people begin using the office, operations staff will likely maintain a hybrid schedule (1-3 days/week in the office). Typical work week is 40 hours. There may be occasional evening or weekend work requests, usually with advance notice.
